JOB TITLE: Staffing Coordinator

DEPARTMENT: Administrative, Talent

REPORTS TO: Staffing Manager

LOCATION: New York, In-Person/Hybrid

SALARY RANGE: $25 ~ 33/Hourly *exempt

ROLE SUMMARY

As a Staffing Coordinator at STAFFED INC., your role is foundational, supporting our managers and leadership in the smooth running of our business. You are the backbone of our administrative efficiency, ensuring that every detail, from talent development to client management, is handled with precision and care. JOB RESPONSIBILITIES


Talent Recruitment and Administrative Support:

  • Support recruitment efforts, including posting active jobs, scheduling, screening, interviewing, and presenting candidates for selection, utilizing various platforms and networks.
  • Ensure staffing procedures comply with legal and ethical standards and implement best practices.
  • Keep detailed records of past and active applicants by maintaining the Applicant Tracking System
  • Support talent department initiatives:
  • Onboarding
  • Orientation
  • Talent Communications
  • Training
  • Time & Attendance
  • Performance Onsite
  • Upskilling
  • Collecting & submitting receipts & expenses


Sales Support:

  • Assist with the initial client intake process, capturing all required event and experience details.
  • Update and maintain the CRM system for tracking client interactions and sales progress.
  • Contribute to strategic plans and provide regular reports to management on talent, accounts, and sales.
  • Foster long-term relationships with clients and partners, focusing on client retention and satisfaction.
  • Identify and pursue new business opportunities.


Account and Event Support:

  • Liaison with managers on incoming client RFPs to understand their needs, budget, and scope.
  • Keep managers informed with up-to-date talent lookbooks and post-event notes.
  • Ensure prompt and accurate communication regarding talent scheduling and event details.
  • Support staff bookings, ensuring they are well-prepared, properly briefed, and perform their roles effectively.
  • Ensure all client events are adequately staffed. Follow up with clients post-event for feedback on talent performance.
  • Collect and compile post-event images for use on social channels and weekly meetings.
  • Research & Development, as needed, for travel & expenses, marketing opportunities, etc.
  • Onsite event support, as needed.


QUALIFICATIONS

  • 2+ years of professional experience in full-cycle staffing and recruitment for permanent and/or temporary roles.
  • Availability to travel for events to target markets throughout the US based on onsite needs.
  • Proven Leadership Experience: Demonstrated experience leading teams, particularly in staffing, recruitment, hospitality, fashion & retail, and event settings.
  • Innovative Recruitment Strategies: Expertise in developing and implementing innovative staffing strategies to attract top talent.
  • Financial Acumen: Understanding of budgeting and cost management in relation to staffing and events.
  • Cultural Competency: Ability to work effectively in a diverse environment, understanding the nuances of different cultures and backgrounds.
  • Tech-Savvy: Proficiency in advanced staffing technologies and platforms, including forward-thinking recruitment tools.

  • Technical Proficiency: Familiarity with CRM systems, applicant tracking systems, and standard office software.
