The Team
Reporting to the Chief of Staff, the Human Resources Coordinator will primarily support the Chief Human Resource Officer’s day-to-day, while also providing basic calendar, travel, and expense support for two additional HR leadership team members.
You will be able to exercise initiative and discretion in a results-focused and fast-paced environment, with the ability to balance management of the CHRO’s calendar alongside the day-to-day functions of the broader HR team team, effectively and efficiently. You will collaborate closely with a diverse and talented group of professionals based all around the world.
The Role
The Human Resources Coordinator will serve as a key member of the Global Human Resources team, providing integral support to the Chief Human Resources Officer and members of their leadership team. You will be responsible for a varied workload, comprising both administrative tasks and strategic initiatives.
Primary Responsibilities Will Include
Both day-to-day and complex executive calendar management
- navigating and managing meeting cadences
- proactively arranging schedules and deliverables, often weeks or months ahead
- preparing briefing materials and reports for meetings as needed
Domestic and international travel coordination
- creating new and modifying existing bookings, often in high pressure situations and potentially outside typical business hours as necessary
- navigating and upkeeping executive travel preferences and loyalty programs
Preparing the CHRO for internal and external programs and events
- coordinating detailed event logistics (meeting room reservations and preparations, event supplies, meal reservations and catering requests)
- liaising with key stakeholders for smooth execution
- proactive outreach to executives to align on expectations, agendas, etc.
- management of leadership headshots and professional bios, used for various speaking engagements
Expense reimbursement processing, requiring detailed understanding of Global T&E policies
- timely report submissions
- ensuring compliance with company policy
- strong attention to detail and accuracy
Providing support to the Chief of Staff
- effective communication, coordination, and management of key HR initiatives, projects, and priorities as required
- any and other responsibilities as assigned by the manager to support the responsibilities of the department
What You’ll Bring
- Proven experience as an HR Assistant, Coordinator, Executive Assistant or similar role, preferably in a fast-paced, global environment.
- Strong project management approach, with a track record of successfully managing complex calendars and initiatives through to completion.
- Strong communication (written and oral) and interpersonal skills, with the ability to effectively articulate information to audiences at all levels, both internally and externally.
- High level of emotional intelligence, with the ability to create and maintain relationships with a broad range of people: C-suite leadership, all levels of staff, and vendors etc. to professionally represent the Office of the CHRO, broader HR organization, and Hitachi.
- An ability to work well under pressure and deliver to tight deadlines and demands with confidence, operating in a dynamic environment and handling multiple concurrent, and often changing, priorities at once.
- High level of discretion and ability to handle confidential information with integrity.
- Exceptional attention to detail, organizational and time management skills.
- A self-starter with a proactive approach to working through challenges, taking the initiative to identify, prioritize and implement actions required to achieve goals.
- Proficiency in Microsoft office suite products i.e., Word, PPT, Excel, Outlook, etc.
