The Mineralife Administrative Coordinator plays a pivotal role in ensuring the seamless coordination of administrative functions. This dynamic position requires exceptional organizational, managerial, and interpersonal skills. This role is responsible for overseeing critical areas such as effective accounting processes, human resource administration, office organization, and general administrative support.

Essential Functions
Effective Management of Accounting Processes:
· Manage Mineralife payroll for hourly and salaried employees
· Submit receipts and necessary information to Mineralife Accounting Consultants
· Maintain the Chart of Accounts in QBO and ensure organizational efficiency as the business grows
· Utilize Mineralife systems for invoicing customers
· Utilize payment tracker and other SmartSheets to track customer invoicing
· Track and pay all accounts payable in a timely manner
· Develop and manage the administrative budget, overseeing departmental spending
Human Resource Support for Mineralife Employees:
· Deliver exceptional service to Mineralife employees
· Manage employee benefits packages, insurance, and other HR administrative tasks
· Organize and manage employee files- including, personnel files, I-9 files and medical files
· Oversee onboarding and offboarding processes for all employees
· Place job ads for recruitment
· Screen candidates and conduct phone interviews / in-person interviews
· Respond to unemployment claims in a timely manner
· Assist with handling disciplinary actions and employee terminations
· Assist in developing & monitoring rewards programs for employees
· Provide handbook training to new Mineralife employees
· Organize HR employee trainings as needed.
Office Management:
· Maintain stock of office supplies and equipment, including paper, pens, printer ink, etc
· Ensure organization across all departments and assist with various organizational needs
· Organize and execute team meals, outings, birthday cards and more
Administrative Support:
· Oversee deadlines and company standards, providing administrative support
· Manage scheduling, calendars, research, and report creation as needed
· Collaborate with the leadership team to enhance communication and collaboration
· Organize filing systems online and offline
Other
· Other duties and projects as assigned
Skills and Qualifications
· Proven experience in office management and administration
· Strong organizational and multitasking skills
· Excellent interpersonal and communication abilities
· Familiarity with accounting processes and payroll management
· Customer service-oriented mindset
· Proficiency in relevant software, including QuickBooks Online
Physical Requirements:
· Prolonged periods sitting, standing, and walking
· Must be able to lift up to 50 pounds at times
· Required PPE when in manufacturing facility: facemask, hair net, gloves, foot covers
